Here is an example of the types of documents you’ll get:

Application Process

Lease Application. Each tenant-applicant should fill this document out before being considered for tenancy. It is critical that you collect as much personal information about the tenant as possible not only to allow you to run a background check but also for collection purposes if the tenant later defaults.
New tenant application policy. This policy lays out the basic rules of how you perform your tenant screening process. It may be modified to fit your tenant criteria, but it should be followed in all cases. If you have a written policy of tenant evaluation and documentation that you have followed that policy, it is much easier to defend against a claim of housing discrimination. You may give applicants a copy of this policy, but aren’t required to.
Tenant screening control sheet. This is an internal checklist for tracking your evaluation of each tenant application, and the practical application of the new tenant application policy. It is handy to attach this document to each application to track your evaluation process and document reasons for rejection, if any. It is critical that you fill one of these out for each application you receive, especially if you reject the application. If you keep one of these for each tenant-applicant, it will be much easier to defend against a claim of housing discrimination.
Move-in / move-out checklist. This is a handy checklist for documenting the move-in condition and move-out condition of the unit. It can be used as evidence if your tenant complains about being charged for damage on move-out.
Request for landlord reference. It is important to check landlord references, and this is a simple document you can send to a prior landlord or ask your tenant to give it to their current landlord.
Tenant transition letter. This “welcome” letter can be given to an inherited tenant living in a property you just purchased.

Leases and addenda

Master lease template. This is the master lease document. All of the relevant changeable terms appear on the first page of the lease for ease of modification.
Pet addendum. This document enables you to collect pet deposits and pet rents. One per pet should be filled out.
Extension of residential lease agreement. Although it is best practice to sign a new lease on renewal, this document may be used to extend the term of the lease.
Protect Your Family From Lead In Your Home pamphlet. Landlords are required by federal law to provide this EPA pamphlet to each tenant.

Notices to tenant

3-day notice. Post this notice to the door of the unit when you intend to file an eviction. Wait at least three business days after posting the notice before filing.
24-hour notice. Post this notice when you wish to enter the premises for any reason.
30-day notice of nonrenewal. Provide this notice to the tenant when you wish to terminate a month-to-month lease.
Notice to clean up property. Provide this notice to the tenant when they are not keeping it clean.
Notice to tenant about damages caused by tenant. Provide this notice when the tenant damages the property and you intend to bill them for the damage.
Rent increase letter. Use this notice to raise the rent of a month-to-month lease.
Tenant move-out checklist. This is a detailed letter containing move-out procedures that may be modified to fit your business model.
Tenant move-out letter. This is a short letter containing move-out instructions for the tenant.
